Pricing & contracts
Foundation is $650/month, Advisor is $950/month and CFO Partner is $1,650/month, plus a one-time Cleanup Sprint starting at $750. Full detail is on the pricing page. There's no hourly billing and no per-transaction metering.
Because fixing the history is genuinely a project, not part of a monthly cycle. Firms that waive it either cut corners or bake it into a permanently higher monthly rate. We charge it once, visibly, and quote it only after we've seen your actual file — so the number doesn't move on you later.
No. Month to month at every tier, cancel with 30 days' notice. There's an optional annual pre-pay at your twelve-month mark (pay for twelve, the twelfth is free), but we don't offer it at signup — committing a year to a firm you haven't worked with isn't in your interest.
Email us; 30 days' notice, no exit fee. The QuickBooks file is yours and always was — we hand back the chart of accounts, job costing structure and templates in working order, and we'll talk to your next bookkeeper if it helps. We'd rather you leave clean.
Getting started
Fit call, then the free Profit Leak Audit, then a fixed Cleanup Sprint quote. Once you accept: engagement letter, first payment, read-only access, and a 45-minute onboarding call. The Sprint runs two to three weeks, then your first full monthly delivery lands by the 10th of the following month.
Read-only access to your business bank and credit card accounts, your QuickBooks file if you have one, last year's tax return, and your loan or lease documents if any. Agents: commission statements and your broker's split structure. Contractors: your current bid or estimate format and your sub list. That's the bulk of it.
About two hours in month one. After that, roughly 30 minutes a month for your review call plus occasional questions when we can't tell what a transaction was for. If we're asking you a lot of questions after month three, we've set something up badly.
Yes. Catch-up bookkeeping for prior tax years is quoted separately per year, on top of the Cleanup Sprint. We'll be honest about whether going all the way back is worth it — sometimes reconstructing a year that's already filed costs more than it recovers.
Software & existing help
We work in QuickBooks Online — it's what your CPA and your lender will expect, and it's where our job costing and commission structures are built. If you're on Xero, Wave or spreadsheets, migration is part of the Cleanup Sprint. The subscription is yours and stays in your name.
You can, and if you have the time and the interest, you probably should. The software is the easy part. Structuring commission splits or job phases correctly, catching what the bank feed miscategorizes, and reading what the result means about your pricing is the work. If your hourly value is higher selling or building than reconciling, the math usually favors outsourcing it.
Only if there's a gap. If your books close by the 10th and you can already see profit per deal or per job, you're well served — stay. The clients who switch to us typically have accurate books and still can't answer a question they need answered. That's a reporting gap, not a bookkeeping failure.
Directly, and gladly. Most CPAs are relieved to receive a clean year-end pack instead of a shoebox in March — it makes their job faster and often makes your bill smaller. If you don't have one, we can introduce you to a few who work with agents and contractors.
The monthly service
By the 10th: reconciled accounts, P&L and balance sheet with plain-English notes, your tax set-aside figure, and — from Advisor upward — profit by deal or job, margin by category, a 13-week cash flow forecast and your KPI dashboard. Then a review call to talk through what changed.
You aren't billed for that month. It's in the engagement letter, and you don't have to argue for it — we apply it. The one exception is a delay caused by information we've asked you for and haven't received, which we'll always flag in writing well before the deadline.
Email and direct message — no ticket queue, no support portal. Foundation gets a five business day reply window, Advisor 48 hours, CFO Partner same business day. Advisor and CFO Partner also get a scheduled monthly call, which is where the useful conversations actually happen.
We coordinate with your payroll provider and make sure it flows into the books correctly, but we don't run payroll ourselves. We also don't pay bills or move money — we work read-only by design, which protects both of us. AP/AR management for contractors is available as a $200/month add-on, but that's tracking and chasing, not payment authority.
Taxes
No. We're a bookkeeping and advisory firm, not a CPA firm, and we don't file returns or give tax advice. What we do is keep you tax-ready year-round: a running set-aside figure, documented deductions, and a year-end pack your CPA can work from immediately.
We won't promise a number, and be skeptical of anyone who does. What we can say is that deductions you can't substantiate are deductions your CPA can't take — so documenting them as they happen, rather than reconstructing them in March, tends to change the outcome. The mechanism is documentation, not a loophole.
A running estimate of what you should be holding back for taxes based on profit to date, so the bill isn't a surprise. It's an estimate for planning, not a filing calculation — your CPA sets the actual number. CFO Partner clients get a formal quarterly projection on top of it.
Security & data
Read-only, through each platform's own permission system — QuickBooks Online accountant access, and read-only bank feeds. We never ask for the ability to initiate transfers or payments. If a bookkeeper ever asks you for full banking credentials, that's a reason to walk away.
Documents live in access-controlled cloud storage with multi-factor authentication on every account that touches your file. We don't email spreadsheets of your financials around, and we don't store card numbers or full bank credentials at all. Details are in the privacy policy.
The people working on your file, and your CPA if you ask us to coordinate. We don't sell, share or use client data for marketing, and we won't publish anything about your business — even anonymized — without written permission.
Yes — email us and we'll delete what we hold, subject to records we're required to retain for a limited period. Note that your QuickBooks file belongs to you and lives in your subscription, so it stays with you regardless.
